How Cooler Cards works
What is Cooler Cards?
Cooler Cards is a digital punch card system for sports teams. Instead of paper cards on the cooler, your team tracks drinks electronically. Open a card, tap "Grab a Drink" each time you take one, and pay up at the end of the season — or whenever you like.
Getting Started
- Join a team — Your team admin will either invite you by email or give you a join code. Go to Join a Team and enter the code.
- Open a card — Once you're on a team, tap into it from My Teams and hit Open New Card.
- Track your drinks — Every time you grab a drink, tap Grab a Drink. Your punch dots fill up as you go.
- Card completes — When all punches are used, the card closes (if auto-close is on) and you can open a new one.
Your Team Page
- Open Card
- Shows your current card's progress — how many drinks you've had out of the total, a visual progress bar, and individual punch dots. The most recent punch animates so you know it registered.
- Grab a Drink
- Adds one drink to your open card. If you tap it by accident, hit Undo right away to reverse it.
- Payments
- Shows your outstanding balance (cards opened × card price, minus what you've paid). If your team has Stripe enabled, you can tap Pay Now to settle up online.
- Leaderboard
- See who's leading in drinks and cards — both for the current season and all-time. Top 3 get gold, silver, and bronze badges.
- Recent Activity
- A log of your recent actions (drinks, undos, adjustments). Tap to expand.
Kiosk Mode
Your team admin may print a QR code and attach it to the cooler. Scan it from any phone, select your name, enter your PIN, and log a drink — no login needed. It's the fastest way to grab a drink at the field.
Profile & Account
Visit Profile to update your display name and manage your kiosk PIN. Your display name is what appears on the leaderboard and in kiosk mode.
Cooler Cards uses magic link login — no passwords. Enter your email and we send a one-time login link. Check your inbox (and spam folder) when logging in.

Frequently Asked Questions
I tapped "Grab a Drink" by accident. What do I do?
I didn't get my magic link email
Check your spam/junk folder first. Magic links expire after 15 minutes. If it still doesn't arrive, try again — make sure you're entering the exact email your admin used to invite you. Contact your team admin if the problem persists.
How do I join a second team?
Go to Join a Team (also in the menu) and enter the join code from your new team's admin. You can be a member of multiple teams at once.
What happens when a card is full?
If auto-close is enabled for your team, the card automatically closes when all punches are used. You can then open a new card. Your balance updates to reflect the new card's cost.
How is my balance calculated?
Your balance is: (number of cards opened × card price) − payments made, for the current season. When the admin starts a new season, balances reset.
Can I pay with cash or e-transfer?
Yes — but those payments are recorded by your team admin manually. Only Stripe payments (if enabled) can be made directly through the app. Talk to your admin about how your team handles payments.
What's a PIN and why do I need one?
A PIN is used for kiosk mode only. When you log a drink via the QR code on the cooler, you select your name and enter your PIN to confirm. It keeps others from logging drinks on your card. Your admin can set your initial PIN, and you can change it anytime from your Profile page.
What does "season" mean?
A season is a tracking period set by your team admin — usually matching your sports league season. When a new season starts, drink counts and payment balances reset. Lifetime stats are kept forever.
